For the processing described in this policy, MindHome acts as the data controller unless a service provider acts as a separate controller under its own privacy terms.

Information we collect

We collect information you provide directly, information created through your reservation or stay, and limited technical information generated when you use our website.

  • Identity and contact details, such as your name, email address, telephone number, billing address and country.
  • Reservation details, including arrival and departure dates, guest numbers, selected apartment, preferences, requests and messages.
  • Transaction details, such as payment status, amount, currency and a payment reference. Card information is handled by the payment provider and is not stored by this website.
  • Technical information, including IP address, browser and device type, pages visited, approximate location and cookie choices.
  • Communications with MindHome before, during or after your stay, including feedback and support requests.

How and why we use it

We process personal information only when we have a lawful reason to do so. Depending on the situation, this may be necessary to perform a contract, comply with a legal obligation, pursue a legitimate business interest or act with your consent.

  • To check availability, process and manage reservations, collect payment and provide your stay.
  • To send confirmations, arrival instructions, access information and service messages.
  • To answer questions, handle requests, resolve issues and improve guest service.
  • To protect guests, our apartments and our services, including fraud prevention and security monitoring.
  • To meet accounting, tax, insurance, public-health and other legal obligations.

Who receives your information

We share personal information only when needed to operate the accommodation, complete a reservation, comply with the law or protect legitimate interests.

  • Booking and property-management providers, including Hostaway, which powers our availability and secure booking pages.
  • Payment processors, banks and fraud-prevention providers involved in completing your transaction.
  • Website hosting, communications, maintenance, analytics and professional service providers acting under appropriate obligations.
  • Public authorities, courts, insurers or advisers when disclosure is legally required or necessary to establish, exercise or defend a legal claim.

International data transfers

Some service providers may process information outside Greece or the European Economic Area. Where this happens, we rely on a lawful transfer mechanism and appropriate safeguards, such as an adequacy decision or approved contractual protections, when required by applicable law.

How long we keep information

We retain personal information only for as long as necessary for the purpose for which it was collected. Reservation and transaction records may be kept for the periods required by tax, accounting, insurance and other applicable laws. Messages and technical records are kept for a proportionate period for guest service, security and dispute resolution. When information is no longer required, it is deleted or anonymised.
